The LicenseTracker provides detailed statistics on
how floating, fixed, and read licenses are being utilized, including:
Server license summary of current, average, and peak usage

This form captures information on current, average and peak license usage in daily, weekly,
monthly and annual intervals. It also provides a snapshot of the number of dormant licenses
and the ratio of registered vs. purchased Floating licenses.

Tracking the peak usage times will allow you to make a more informed decision on re-allocating
licenses. For example, if the maximum number of Floating users occurs on weekdays between
10am and 11am, there is no benefit to converting a user who monopolizes a Floating license
between 3pm-11pm.
Individual user license utilization

This form captures detailed statistics on how Floating, Fixed, and Read licenses are being utilized.
Significant cost savings can be achieved by using this information to reclaim dormant licenses and
re-allocate licenses based on utilization (time spent idle vs. total
time logged in)

Licenses that have been dormant for 1, 2, or more than 3 months

that should be reviewed to determine if a Fixed license is more appropriate based on their high level of utilization.

Users that have had their license type converted

This form captures information on users that have had their license type re-allocated. Information
on usage at the time of conversion is also captured to provide a historical record to justify the
license re-allocation.

The data can be used to calculate the cost savings achieved by re-allocating licenses based on
usage rather than purchasing additional licenses.

For example, if a user is monopolizing a Floating license during peak usage time, by changing to
a Fixed license, you have effectively increased the number of casual users who can access
the system without incurring the cost of purchasing an additional Floating license.

Note:
If you change the license type of a user, you will not see that change reflected in this form until
the user logs in again or the Scheduled Task that runs daily captures statistics on registered users.
The LicenseTracker's reporting feature:
Allows you to customize the interval and duration of the report

This will generate a graphical display of license utilization using Crystal software that includes: the
maximum number of licenses in use and the
peak usage hours of the system.
The LicenseTracker can be easily
configured to:
Accommodate virtually any server configuration and environment

Collect license statistics from one AR System server and store the results on another AR System server

Initiate statistics collection on multiple AR System servers from a single Windows Workstation/Server

Raise/Lower the default thresholds used to identify potential candidates for license conversion
-
For Floating -> Fixed Candidates, the lowest recommended threshold is 60%.
For Fixed -> Floating Candidates, the highest recommended threshold is 30%.

Provide notification when there have been floating users forced to use read licenses

Issue an alert when the maximum number of concurrent users has exceeded the previous record

This form is automatically populated with default values for threshold identification and
notification preferences.

It is advised that you use these default values for 2-3 days before making changes to allow
the system time to gather an accurate baseline.
Effective license management will eliminate complaints from users who cannot
complete their work due to a shortage of Floating Write tokens.
Significant cost savings can be achieved by re-allocating licenses
based on actual usage instead of purchasing and paying annual support
for additional licenses.
